Privacy Policy

Please read these Privacy Policy carefully before using EasyWarmup or any services provided by 1001545177 Ontario Inc. By accessing or using our platform, you agree to be bound by these terms.

EasyWarmup (“we”, “our”, or “us”), is committed to protecting your privacy. This Privacy Policy explains how your personal information is collected, used, and disclosed by us. This Privacy Policy applies to our website, our web application, and associated subdomains (collectively, our “Service”). By accessing or using our Service, you signify that you have read, understood, and agree to our collection, storage, use, and disclosure of your personal information as described in this Privacy Policy and our Terms of Service.

1.What Information Do We Collect?

We collect information from you when you visit our website, register an account, place an order, subscribe to our newsletter, respond to a survey, or complete a form.

  • Name or username
  • Email address

If you choose to connect a Google account (for example, a Gmail or Google Workspace mailbox) to EasyWarmup, we also receive certain Google user data through Google APIs. That data is described in, and governed exclusively by, the section titled “Google User Data and Google API Services User Data Policy” below.

2.When does EasyWarmup use end user information from third parties?

EasyWarmup may collect End User Data necessary to provide its services to customers. End users may voluntarily provide information they have made publicly available on third-party websites. Where such information is provided, we may collect publicly accessible data from those sources. You can control how much information those platforms make public by adjusting your privacy settings on the respective platforms.

3.When does EasyWarmup use customer information from third parties?

We may receive information from third parties when you contact us. For example, when you submit your email address to show interest in becoming an EasyWarmup customer, we may receive information from automated fraud detection providers engaged by EasyWarmup. We may also occasionally collect publicly available information from third-party websites. You can limit this by adjusting your privacy settings on those platforms.

4.Where and when is information collected from customers and end users?

EasyWarmup collects personal information that you voluntarily submit to us. We may also receive personal information about you from third parties as described above.

5.How Do We Use The Information We Collect?

Information we collect may be used in one of the following ways:

  • To personalize your experience and respond to your individual needs
  • To improve our website and services based on feedback
  • To improve customer service responsiveness
  • To process transactions
  • To administer a contest, promotion, survey or other site feature
  • To send periodic service-related and marketing communications

The purposes above apply to information you provide directly to us through our website and account registration. They do not apply to Google user data. Google user data obtained through Google APIs is used solely to provide and improve the user-facing features of EasyWarmup described in the section titled “Google User Data and Google API Services User Data Policy”, and is never used for marketing, advertising, or promotional purposes.

6.How Do We Use Your Email Address?

When you submit your email address through our website (for example, to register an account, subscribe to our newsletter, or contact us), you agree to receive service-related communications from us and, where you have opted in, marketing communications. You may unsubscribe at any time using the opt-out link included in each email. We do not send unsolicited commercial email. Email addresses collected through order processing will be used only in connection with your order, unless the same address has been provided to us through another channel.

Email addresses and mailbox data that we receive from Google when you connect a Google account are used only to operate the warmup service for that mailbox. We do not use Google user data to build advertising audiences, for customer-match or lookalike targeting, for remarketing, or for any other advertising purpose, and we do not sell it.

7.Google User Data and Google API Services User Data Policy

EasyWarmup lets you connect a Gmail or Google Workspace mailbox using Google Sign-In (OAuth 2.0) so that we can warm up that mailbox on your behalf. This section explains what Google user data we access, how we use it, and the limits we place on that use. Where anything else in this Privacy Policy could be read to permit a broader use of Google user data, this section controls.

What Google user data we access

Depending on the features you enable and the permissions you grant on Google’s consent screen, we may access:

  • Basic account information: the email address and basic profile information (name and profile picture) of the Google account you sign in with or connect, used to identify your account and the mailbox being warmed up.
  • Mailbox access for warmup: the ability to send email from the connected mailbox, to read and reply to warmup emails exchanged between your mailbox and other mailboxes in the EasyWarmup warmup network, and to modify labels on those warmup emails (for example, moving a warmup email out of the Spam or Promotions folder into the Inbox, marking it as read, or marking it as important).
  • Google Postmaster Tools data (optional): if you enable the Google Postmaster integration, read-only domain reputation, spam-rate, and authentication metrics for your sending domain, displayed in your dashboard.

Warmup emails are automated messages that EasyWarmup generates and exchanges between consenting mailboxes in its network. We identify warmup emails using identifiers that we insert into those messages, and our systems only read, reply to, and relabel messages that carry those identifiers. We do not read, store, or analyze your personal or business correspondence.

How we use Google user data

We use Google user data only to provide and improve the user-facing warmup and deliverability features that you see in the EasyWarmup dashboard, namely:

  • authenticating you and linking the connected mailbox to your EasyWarmup account;
  • sending, receiving, and replying to warmup emails on your behalf according to the warmup schedule you configure;
  • detecting when a warmup email lands in Spam or Promotions and moving it to the Inbox to improve your sender reputation;
  • calculating and displaying deliverability statistics for your mailbox (for example, inbox placement rate, spam rate, and reply rate); and
  • diagnosing and resolving technical problems with the warmup service for your mailbox.

What we do not do with Google user data

  • We do not use Google user data to serve advertisements, including retargeting, personalized, or interest-based advertising, and we do not use it to build advertising audiences.
  • We do not sell Google user data, and we do not share it with data brokers, marketing partners, or Corporate Affiliates for their own purposes.
  • We do not use Google user data to develop, improve, or train generalized or non-personalized artificial intelligence or machine learning models.
  • We do not use Google user data for market research, analytics unrelated to your mailbox, credit decisions, or any purpose other than providing and improving the features described above.
  • We do not allow humans to read your Google user data unless (a) you have given us your explicit consent to view specific messages, for example when you ask our support team to troubleshoot a problem; (b) it is necessary for security purposes, such as investigating abuse; (c) it is necessary to comply with applicable law; or (d) the data has been aggregated and anonymized for internal operations.

How we store and protect Google user data

OAuth access and refresh tokens are encrypted at rest using AES-256 and are transmitted only over TLS-encrypted connections. We store only the metadata about warmup emails that is needed to run the service (such as message identifiers, timestamps, the folder a warmup email landed in, and aggregated statistics). Access to systems that hold Google user data is restricted to authorized personnel who need it to operate the service.

Sharing of Google user data

We share Google user data only with the infrastructure and service providers that we need to operate EasyWarmup (for example, our hosting and database provider), who are bound by data processing agreements and may only process the data on our instructions. We may also disclose Google user data where required by law, to protect the security of our Service, or, with prior notice to you, as part of a merger, acquisition, or sale of assets in which the acquiring party agrees to be bound by this section. We do not transfer Google user data to any other party.

Retention, revocation, and deletion

We retain Google user data only for as long as the related mailbox is connected to EasyWarmup. You can disconnect a mailbox at any time from your EasyWarmup dashboard, or revoke EasyWarmup’s access directly from your Google Account at myaccount.google.com/permissions. When you disconnect a mailbox, revoke access, or delete your account, we delete the associated OAuth tokens and stop all access to the mailbox immediately, and we delete the remaining Google user data from our active systems within the retention period described in this Policy. You may also request deletion of your Google user data at any time through our contact page.

Limited Use disclosure

EasyWarmup’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

8.How Long Do We Keep Your Information?

We retain your information only for as long as necessary to provide the Service and fulfill the purposes described in this Policy, or as required by applicable legal or regulatory obligations. When retention is no longer necessary, we will delete or depersonalize your information in a manner that prevents identification.

9.How Do We Protect Your Information?

We implement physical, electronic, and administrative security measures to safeguard your personal information. Sensitive financial data is transmitted via Secure Socket Layer (SSL) encryption and stored within our payment gateway provider’s secured systems, accessible only to authorized personnel. Transaction records do not retain private financial information after processing is complete. While we employ reasonable safeguards, no system is entirely impervious to breach, and we cannot warrant absolute security of information transmitted to or stored by our Service.

10.Could my information be transferred to other countries?

EasyWarmup is incorporated in Canada. Information collected through our website, direct interactions, or support channels may be transferred to and processed in countries other than your country of residence, including countries that may not provide the same level of data protection as your home jurisdiction. By using our Service, you consent, to the fullest extent permitted by applicable law, to such international transfer and processing of your information.

11.Is the information collected through the EasyWarmup Service secure?

We maintain physical, electronic, and procedural safeguards to prevent unauthorized access, preserve data integrity, and ensure appropriate use of your information. However, no security system is infallible. To the extent permitted by applicable law, our compliance with any non-disclaimable duty to protect personal information shall be measured against a standard of intentional misconduct.

12.Can I update or correct my information?

Customers may contact us to (1) update or correct their personally identifiable information, (2) modify communication preferences, or (3) request deletion of personal information by cancelling their account. We may take reasonable steps to verify your identity before processing such requests. Please note that it may not be technically possible to remove all records of information from backup systems or archived media. Requests will be acted upon promptly within actively used systems to the extent reasonably practicable.

13.Sale of Business

In the event of a sale, merger, reorganization, or similar transaction involving all or substantially all of the assets of EasyWarmup, we reserve the right to transfer information to the relevant third party, provided that party agrees to adhere to the terms of this Privacy Policy. Where such a transaction involves Google user data, we will provide you with prior notice, and the acquiring party will be required to continue to comply with the Google API Services User Data Policy, including the Limited Use requirements.

14.Affiliates

We may share information, including personal information, with our Corporate Affiliates. “Corporate Affiliate” means any entity that directly or indirectly controls, is controlled by, or is under common control with EasyWarmup. Corporate Affiliates receiving such information are required to treat it in accordance with this Privacy Policy. This does not apply to Google user data, which we share with Corporate Affiliates only to the extent necessary to provide or improve the EasyWarmup features described in the section titled “Google User Data and Google API Services User Data Policy”, and never for the affiliate’s own purposes.

16.Remarketing Services

We use remarketing technologies that enable us to serve targeted advertisements to users who have previously visited our website. These services allow EasyWarmup to display relevant content to you across third-party websites and platforms you subsequently visit. Remarketing is based solely on cookies and similar technologies placed when you visit our public website, as described under “Tracking Technologies”. We never use Google user data obtained through Google APIs, including the email address of a connected mailbox or any mailbox content, for remarketing or any other form of advertising.

17.Children’s Privacy

Our Service is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that such information has been collected without verifiable parental consent, we will take prompt steps to remove it from our systems.

18.Changes To Our Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our practices or legal requirements. Where required, we will provide notice of material changes before they take effect. Continued use of the Service following such notice constitutes acceptance of the updated Policy. If you do not agree to any updated Privacy Policy, you may delete your account.

19.Third-Party Services

Our Service may display or link to third-party content, applications, or websites. EasyWarmup is not responsible for the accuracy, completeness, legality, or quality of any Third-Party Services and expressly disclaims any liability in connection with them. Access to and use of Third-Party Services is entirely at your own risk and subject to the terms and conditions of the respective third parties.

20.Tracking Technologies

All credit card and payment processing information provided to us is handled in accordance with industry-standard security protocols and stored in the most secure manner commercially practicable.

  • Cookies: used to enhance website performance and recall user preferences, including login state.
  • Local Storage: used to store client-side data in a manner that persists across sessions without being transmitted in HTTP headers.
  • Sessions: used to track areas of the website accessed during a browsing session, stored locally on your device by your browser.

21.Information about General Data Protection Regulation (GDPR)

If you are located in the European Economic Area (EEA), the following provisions apply to our collection and use of your personal data.

What is GDPR?

The General Data Protection Regulation is an EU-wide framework governing how companies collect, process, and protect the personal data of EU residents. EasyWarmup has adopted GDPR-aligned controls as a baseline standard across its global operations.

What is personal data?

  • Personal data must be processed lawfully, fairly, and transparently.
  • Personal data should be collected for specified, legitimate purposes and limited to what is necessary.
  • Personal data should be kept accurate and retained only as long as necessary.
  • People covered by the GDPR may access, correct, delete, restrict, or port their personal data.

Why is GDPR important?

GDPR provides a framework for how companies should collect, process, and protect personal data. We treat these principles as an important baseline for responsible data handling across our Service.

You may request access, correction, deletion, restriction, or portability of your personal data by contacting our customer support team. EasyWarmup stores personal data with vetted, DPA-compliant vendors for up to 8 years, or for up to 80 days following account deletion, in accordance with our Terms of Service.
